Awards, Adjustments, Disbursements & Refunds

Financial aid offered before the term census (i.e. the last day to drop with a tuition refund for the longest session of the fall, spring, or summer term) is based on anticipated full-time enrollment. Awards may be reduced after the term census for students enrolled in less than 12 eligible credits.

Students are encouraged to register for all courses they wish to take during the entire semester by the term census because grant eligibility is calculated based on enrollment as of the term census. Grant aid will not be increased for classes added after the term census.

Late financial aid applicants who are awarded for the first time after the term census will only be awarded once they are enrolled and their award will be based on their enrollment at that time. If you are a late financial aid applicant and are unable to make payment arrangements before the payment deadline, you should register for all the courses you plan to take during the semester at one time and then contact the Financial Aid Office immediately after you register to have your aid eligibility determined.

Financial aid is adjusted beginning immediately after the term census (i.e. the last day to drop with a tuition refund for the longest session of the fall, spring, or summer term) for students enrolled in fewer than 12 eligible credits. Awards may be reduced or cancelled for students enrolled in less than 12 eligible credits, depending on the type of aid offered and the student’s level of enrollment.

Students may log into their my91勛圖 Student Information System (SIS) account to review their charges and view their pending financial aid based on their actual enrollment. Once financial aid is adjusted, the updated award can be viewed in the Student Financial Planning (SFP) portal.

Any balance not covered by pending financial aid based on the student’s actual enrollment must be paid by the payment deadline to prevent courses from potentially being dropped for non-payment.  Review the Payment Options webpage for more information on the Payment Plan and other payment methods.  

After financial aid is adjusted, it may still be reduced or cancelled if you drop, audit, or do not attend registered courses past the course census date. You may also have to repay financial aid in accordance with the Return of Title IV Financial Aid Funds Policy if you do not attend the entire period for which you were scheduled to attend or if you withdraw from all courses prior to completing at least 60% of the term.

  • Disbursements for eligible students are typically processed at least once per week after the census date during the term.
  • Most federal and institutional aid is disbursed after you have attended at least 6 eligible credits past the course census date if you do not have any holds or incomplete items on your account that prevent disbursement.
  • State aid is disbursed after you have attended the minimum number of eligible credits required for the respective state program past the course census date.
  • Aid for students enrolled in only 1-5 eligible credits is disbursed after they have attended past the course census date.
  • No aid is disbursed before the term census (the last day to drop with a tuition refund for the longest session of the fall, spring, or summer term).
  • At the time of loan disbursement, students must be currently attending at least 6 eligible credits past the course census date or they must have already successfully completed at least 6 eligible credits during the term.

As indicated above, financial aid is typically disbursed to your student account about 2-3 weeks after the term census (i.e. the last day to drop with a tuition refund for the longest session of the fall, spring, or summer term).

When to Expect Your Refund

  • 91勛圖 processes refunds through .
  • Refunds may take up to 14 business days after the refund is posted to a student’s account in SIS, depending on your refund method.
  • Direct Deposit (ACH - Highly Recommended): If you have direct deposit set up, the refunds are usually deposited within 3 to 4 business days. Please note: Enrolling in Direct Deposit via Nelnet is strongly encouraged to ensure you receive your funds quickly and securely. 
  • Credit Card: If you paid your tuition charges by credit card, the refund will be posted to the original card within 2 to 3 business days. (If the card is closed, it reverts to your Nelnet preference and takes 8 to 14 business days. Credit card refund procedures do not apply to federal Title IV funds).

Paper Check (Default): 91勛圖's default refund delivery method is by check, which may take up to 10 to 14 days AFTER the refund is posted to your account. The check will be sent to the mailing address on record in SIS for you.

Expired Paper Refund Checks are NOT Reissued:

  • Paper checks expire 90 calendar days after the print date.  
  • Expired checks will NOT be reissued. It is the student’s responsibility to cash or deposit them before they expire.
  • Nonfederal refunds from expired checks will be sent to the Virginia Treasury and can be retrieved at .  Students may have to wait up to 30 days after the check expires to claim the funds.
  • Federal refunds from expired checks will be returned to the Department of Education and will reduce financial aid usage by the amount of the uncashed refund check.  For example, an uncashed check for a Pell Grant refund would reduce Pell Lifetime Eligibility Used (LEU) and an uncashed check for a Federal Direct Loan would reduce the outstanding principal loan balance.

Lost or Misplaced Checks

Students may contact the 91勛圖 Business Office at anbusinessoffice@nvcc.edu to request a misplaced check to be reissued. The request must be received at least 10 days before the check expires. The College reserves the right to deny any reissue request.  

Note: While direct deposit is highly recommended for efficiency, it is not required. However, students who do not enroll in direct deposit may experience longer processing and delivery times due to check printing and mailing.
